General Purpose
Provide executive administrative services to support a Chair/CEO. Perform complex and confidential administrative assignments. Implement and support business objectives, strategies, and plans. Compile and analyze data and prepare reports/recommendations for action by a top executive. Administer or coordinate projects and/or processes to assist in achievement of corporate goals and objectives. Relieve the executive of routine administrative detail and serve as administrative liaison within and outside the company regarding issues related to business operations. May assist in budget tracking and control activities. May provide supervision to other clerical/administrative positions
Responsibilities
- Facilitate the work of the Chair/CEO’s office.
- Manage the Chair/CEO’s calendar and provide confidential and advanced-level business support to the Chair/CEO.
- Respond to emails, calls, mail, and other inquiries on behalf of the Chair/CEO using the latitude given to them by the Chair/CEO.
- Proactively identify potential issues and roadblocks for the Chair/CEO’s schedule using advanced negotiation, decision making and complex problem-solving skills to remove barriers and implement solutions.
- Ensure that standards, policies, and practices are followed by organizations within the company, in particular the executive-level support staff.
- Delegate the coordination of schedules as appropriate; confirm travel arrangements (flights, hotels, transportation); create itinerary; identify or provide proper travel documents; make changes as needed or requested.
- Provide accurate input into the budget process and contribute to meeting the actual targets.
- Establish and maintain effective work relationships within the department and the company.
- Maintain sensitive and confidential information regarding company information.
- Monitor and enforce all compliance requirements for area of responsibility.
- Maintain the professional competence, knowledge and skills necessary to effectively complete responsibilities; enhance job knowledge and abilities by taking personal responsibility for professional development and training.
- Support the company's employee policies and procedures, including workplace safety rules.
Requirements
- Bachelor’s Degree in Business Administration or a related field; or the equivalent combination of education and experience.
- A minimum of seven years of related experience providing high-level administrative support.
- Ability to multi-task in an environment of competing priorities and frequent interruptions.
- Solid ability to take initiative and perform assignments with minimal executive direction.
- Ability to understand and quickly prioritize complex issues.
- Strong writing skills to compose and prepare executive reports, documents, and presentations.
- Excellent organization and planning skills, customer service orientation, and attention to detail.
- Leadership and teamwork skills to provide input into policy decisions and to mobilize resources to produce desired business results.
- Ability to perform responsibilities within determined time frames with a high degree of accuracy.

This position is eligible for an annual discretionary performance incentive bonus of up to 12.00% of salary.
