General Purpose

The Talent Acquisition Coordinator is responsible for ensuring that administrative tasks related to the company’s recruiting efforts run smoothly. Administer the applicant tracking system by entering data, tracking tasks, and working with task-owners on timelines and expenses. Compile, organize, track, summarize and report recruiting data from multiple sources. Develop and maintain process, procedure, templates and other documentation. Monitor, track and administer a variety of staffing processes. Ensure activities are performed in accordance with contract, corporate, and regulatory agency requirements

Responsibilities

  • Administer and maintain various systems and programs including applicant tracking systems, background check systems, relocation, and other systems and programs used to hire employees.
  • Create and assign general recruitments in the applicant tracking system.
  • Ensure data is entered accurately, timely and appropriate so that recruiting programs operate properly.
  • Monitor staffing department email and phone calls. Provide assistance to internal and external clients by communicating staffing policies and practices.
  • Research general questions, identify the issue, problem solve and respond to the individual. Escalate matters as appropriate.
  • Gather data from a variety of sources and systems to design and prepare moderately complex reports. This includes regular and ad hoc reports.
  • Audit recruiting data and reports to ensure compliance with law and policy.
  • Process bills, pay invoices and complete expense reports in accordance with company policy and procedure.
  • Administer contracted service programs in accordance.
  • Maintain contracts documentation, and information about expiration timing and costs.
  • Present data and reports to management.
  • Perform additional responsibilities as requested or assigned. May include administrative support activities for a person, group or unit based on organizational needs.

Requirements

  • High school diploma or equivalent; or the equivalent combination of education and experience.
  • A minimum of three years of related experience.
  • Demonstrated initiative, problem-solving skills and follow through on commitments.
  • Proficient with personal computers including spreadsheet, database, word processing, and presentation applications to compile, maintain, and present information.
  • Communication and interpersonal skills including the ability to work with all organizational levels as a team member, to ensure that key information on schedules, requirements, and resources is communicated to management in a clear and timely manner.

  • Experience with an applicant tracking system.
  • Experience in staffing or recruiting.
  • Strong MS Excel, Word and Outlook skills
