General Purpose

Provide document and drawing management to support customers in transmission and distribution, and generation for construction and operation. Manage and distribute engineering drawings through review, reproduction and distribution. Assist internal customers’ retrieval of drawings and other documentation from corporate databases. Compile, organize, and summarize documents and drawings from multiple sources; monitor/track drawings and documents checked in and out of corporate databases in accordance with corporate and regulatory agency requirements. Follow existing policies and procedures; assist in the development and streamlining of policies and procedures for continuous improvement and customer satisfaction.

Responsibilities

  • Work directly with internal and external engineering design personnel, operations, standards, major equipment, and vendors, to ensure compliance of recordkeeping record managing, and maintaining related engineering documentation.  
  • Participate in development and communication of new processes. 
  • Provide system metadata and file maintenance expertise within electronic document management systems. 
  • Maintain and develop internal and external relationships with engineering design, operations, and external engineering consultants.
  • Coordinate data requests as needed.
  • Participate in projects as assigned.
  • Provide weekly reports and updates to management. 
  • Provide support to internal and external engineering users, address document control questions, communicate and interpret policies, procedures, and practices.
  • Identify, troubleshoot, and resolve document control database issues.
  • Provide expertise and job knowledge to develop, modify, and evaluate systems and processes to support company objectives utilizing document control methods.
  • Participate in the work groups; assist associate level document control coordinators. 
  • Collaborate with other coordinators to identify alternative engineering document control solutions to meet business needs. 
     

Requirements

  • High School Diploma or equivalent; or the equivalent combination of education and experience. 
  • A minimum of two years of document control experience with engineering file management.
  • Demonstrate initiative and problem-solving skills. 
  • Ability to perform research, including identification of relevant information and key control points without assistance.
  • Demonstrate communication and interpersonal skills involving the ability to work cross-functionally to understand requirements, present alternatives and recommendations.
  • Demonstrate use of personal computers including spreadsheet, database, word processing, and presentation applications to compile, maintain, and present information.
  • Ability to work as a team member to maintain project timelines, budgets, and deliver commitments.
  • Ability to perform effectively in high-pressure situations while maintaining focus and calmness.

Preferences

  • Knowledge of Company and departmental policies, procedures, practices as well as applicable federal, state, and local governmental laws and regulations.
  • Knowledge of Company SAP, Fusion, P8 Content databases utilized to meet job roles and responsibilities.
  • Familiarity with engineering design and electrical drawings and documentation
